Electronic Document Management: Functional Requirements for the Proper Management of Electronic Documents in Colombia

Abstract

The development and introduction of new technologies in increasingly shorter periods of time has caused a significant increase in the production of electronic documents, which has brought difficulties for organizations to manage, conserve, and restore them in technological environments. Therefore, this article responds to the need to identify the functional requirements Colombian Ministries have to take into account for the proper management of their electronic records. For the effect, the research process is explained, allowing to characterize and capture the object of study within a documentary and descriptive qualitative paradigm; the documentary, since it collects and analyzes the theoretical foundation that validates the research, by compiling bibliographies from reliable sources; and the descriptive, because it collects a representative sample of data from government entities for analysis. Subsequently, the information resulting from the documentary and descriptive research is analyzed to establish the functional requirements needed for the proper management of electronic records.
