Free Software Document Management Systems in Small and Medium-Sized Companies: Between Ignorance and Indifference

Abstract

Document management is not a small process that the organization must contemplate, on the contrary, being transversal, it covers the whole operation of the organization influencing the effectiveness against the fulfillment of objectives and / or missionary and visionary purposes. Public companies or large companies have recognized the importance of document management systems, so they have tried to join the technological implementation that facilitates the process, betting on low-cost software development "free software" and fit to the particular needs of your organization; however, small and medium-sized enterprises do not. According to the results found, the majority of small and medium-sized companies are unaware of the importance of document management systems and even more, of free software as a possible solution to document management and management needs; In fact, talking about software refers to an imaginary of "high costs" and "luxury processes" but not to a real and prevailing need. In the approach that was carried out to one of the small and medium enterprises in the city of Bogotá, a traditional archiving process is identified that tries to link technological tools for the preservation of documents, however, it is identified that this does not guarantee the storage and Proper retrieval of documents. From that point on, it is possible to identify the importance of providing software solutions that not only cover small and medium-sized enterprises, but also consolidate, from these particular experiences, a mass tool that links this productive sector so important to the economic and cultural progress of a country.
